02 Finance and operations platform

Invoices, requisitions, approvals and payments for a multi-entity advisory firm

A finance system built around how the firm actually works: an invoice lifecycle, requisition-to-payment approvals, transfers between entities, commissions, a tax obligation calendar and multiple currencies, with two-factor sign-in.

The problem

An advisory firm operating through more than one entity was running invoicing, expense approvals and inter-company transfers on spreadsheets and email. Nobody could say at a glance what was owed, what was approved, what tax obligation fell due next month, or which entity was carrying which overhead.

What was delivered

A finance and operations system designed on paper first, agreed, and then delivered in phases so the firm was using each part while the next was built.

An invoice lifecycleDraft, issued, part-paid, paid, overdue, written off, with the numbering, the documents and the reminders that follow from each state.
Requisition to paymentA request, an approval chain by role and amount, a payment record, and a pre-check that stops what should not go through before anyone signs it.
Between entitiesTransfers between the firm’s companies recorded on both sides at once, so the books agree by construction.
Commissions and incentivesRules that compute what is owed to whom from what was invoiced and collected, without a spreadsheet at month end.
Tax calendarEvery obligation with its due date, what has been filed, and what is coming, so nothing is discovered late.
Overheads and currenciesOverheads allocated across entities and projects by rule; amounts held in the currency they were made in and reported in the one that matters.

How it is protected

Named accounts with roles, two-factor sign-in, lockout after repeated failures, and an audit of every change. It runs on the ordinary hosting the firm already has.

Let's build something that lasts

Whatever you are building, let us engineer it properly.

A system to build, a network to secure, data to make sense of, or a brand to sharpen: describe the problem, and the engineering, design and reliability follow.
