The problem

An infrastructure developer had project documents spread across email, laptops and shared drives, a project plan in a spreadsheet nobody trusted, and no way to know who had seen what. Lenders and partners needed access to some documents and not others, and every access had to be accountable.

What was delivered

A single system, on the company’s own hosting, with four parts that share one set of people and one set of permissions.

The data room

Works like the cloud drives people already knowFolders, drag-and-drop upload of files and whole folders, move, copy, rename, pin, favourites, list and tile views, and a search across everything the person is allowed to see.
Every file keeps its historyEvery upload is a version. Earlier versions can be read, downloaded or restored. Deleted items wait seven days in a recycle bin before they go.
Office files read and edited in the browserWord, Excel and PowerPoint open as they look in Office, are edited in the browser by several people at once, and every save is a version. New documents are created inside the room.
Sharing that checks who is openingA link sent to a named person asks for their email and sends a six-digit code; a wrong address is told so plainly. Links expire, can be withdrawn, and every open is recorded.
Access managed per room and per folderWho may view, download, edit and share, changed or revoked in one table. Someone given one data room sees only that data room, everywhere in the system.
Large files, fastVery large files arrive without the usual limits, previews are rendered once and kept, spreadsheets open one sheet at a time, and the next page is fetched before it is clicked.

The plan

A work plan in the manner of professional project software: phases, tasks and milestones, dependencies with lags, a critical path computed automatically, a baseline to measure slippage against, Gantt, list, board and dashboard views, and items added by pasting a list or importing a spreadsheet. Minutes of a meeting turn into tasks with one click.

Meetings and reports

Meetings created inside a project, video meetings created on the company’s account with the recording arriving on its own, minutes written in the system, and four reports, project status, data room, portfolio and access review, that produce and send themselves on a schedule.

Accountability

Every page opened, every action, every download and every view is recorded, and only the owner of the system, and whoever they choose, can read that record. The owner’s account is invisible to everyone else, including administrators, and every action in the system can be allowed or blocked person by person.

Security is built in rather than added: protection against injection and forged requests on every form, throttled sign-ins and links, short-lived reset links, sessions that end on their own, alerts to the owner when something fails, and a nightly off-site backup with a tested restore.

What it became

The same foundation, configured per organisation with the modules it needs switched on, is now a platform: capital projects, documents, meetings, data rooms, people and finance in one system instead of six that do not talk to each other.
